Access tokens

Track the physical fobs, keys and cards that open your car park, and see who is holding each one.

What token tracking is for

Most car parks are opened by something physical — a fob, a key, a swipe card. When there are more holders than bays, it is easy to lose track of who has what. Access tokens in ParkShare give you a simple register: every physical credential tied to a bay, and who is holding it.

Plan availability

Access tokens are available on Standard and Pro plans. On Free, the page shows an upgrade message — but any records you created while on a paid plan are saved and reappear if you upgrade again.

Adding a token

  1. 1Go to Admin → Access Tokens.
  2. 2Give the token a label, such as 'FOB-12' or 'Back gate key'.
  3. 3Choose its type: fob, key, card or other.
  4. 4Add optional notes — for example which bay it opens, or that it also works on the pedestrian gate.
  5. 5Save. The token now appears in your register.

Tokens can be tied to specific bays, so you can see at a glance which credential goes with which space.

Assigning and returning tokens

  1. 1To assign a token, set its holder to a member of your organisation.
  2. 2ParkShare records the held-since date automatically, so you always know how long someone has had it.
  3. 3When a token is handed back, clear the holder — the token stays in the register, unassigned and ready for the next person.

Check held-since during audits

The held-since date makes stocktakes painless: sort by holder and anything held for months by someone who left the team stands out immediately.

Why this matters at the gate

On allocation day, knowing who holds which fob removes the last physical wrinkle: the person allocated a bay should also be the person holding the credential that opens it. When a member is deactivated or a token is reassigned, checking the register first means nobody arrives on Monday to find they cannot get in.
