Managing members
Invite colleagues, promote admins, deactivate leavers, reset lost two-factor devices and keep your roster current so allocations stay fair.

Where members live
Admin → Members is your organisation's roster. This page is admin-only — ordinary members never see it. Everything about who belongs to your organisation, and what they can do, is managed here.
Inviting members
- 1Go to Admin → Members.
- 2Enter the colleague's name and, if you have it, their work email address, then send the invite.
- 3They are added straight away. With an email address they also receive a branded invitation email from ParkShare with a link to sign in.
When someone signs in with their work email for the first time, they are added to your organisation. All email — invites, magic links and allocation summaries — comes from noreply@parkshare.work.
Member roles
Every person in your organisation is either an admin or a member. For most people, member is right.

Admin-only pages
Members, Spaces, Allocations, Requests, Leave, Access Tokens, Settings and Analytics are visible only to admins. Keep the admin role to the people who genuinely need it.
Promoting to admin
- 1Find the person on the Members page.
- 2Change their role to admin.
- 3They immediately get access to the admin-only pages.
Deactivating leavers
- 1When someone leaves the organisation, deactivate them on the Members page.
- 2They can no longer sign in or take part in allocations.
- 3Their history stays in the record, so past fairness data is not distorted.
Deactivate rather than ignore
A stale roster quietly skews fairness. Someone who has left but is still active is counted as though they might need a bay, which can push allocations away from people who actually drive in.
Re-inviting
If an invite email lapses or never arrives, ask the person to use the normal sign-in page — entering their work email sends a fresh sign-in link, so a lost invite never locks anyone out. If a deactivated person returns, re-activate them from the Members page; re-inviting their email address will not work while they already exist in your organisation.
Resetting two-factor authentication
Members who lose their authenticator (new phone, deleted app entry) cannot sign in when two-factor is enabled or required — and they cannot fix it themselves, because turning two-factor off requires being signed in. You can reset it for them.
- 1Go to Admin → Members.
- 2Check the 2FA badge in the Status column to confirm the member has two-factor enabled.
- 3Click the key-shaped Reset two-factor action on their row and confirm.
- 4Ask the member to sign in again. If two-factor is optional they are signed straight in; if your organisation requires it they will set up a new authenticator entry as part of signing in.
What a reset clears
A reset deletes the member's authenticator secret and switches their 2FA off. Their parking data, preferences and history are untouched. Only reset it at the member's request — with 2FA off, sign-in is protected by their email or password alone.
Verify the request is genuine
A reset weakens the requester's account security, so confirm the request really comes from the member — ideally via a message or call to a known-good contact, not just a reply to an email.
Keeping the roster current
Fairness is calculated from real allocation history — see allocation/how-fairness-works. An accurate roster of people who actually park is what makes the weekly allocation land well. Review your Members page whenever someone joins, leaves or changes working pattern, and after any reorganisation.
