Reservations and displacement

Approve guaranteed-spot requests as hard reservations, confirm displacement explicitly, and understand the append-only fairness ledger.

The two-tier park request

Members can ask for parking in two ways: they can flag a day they need parking, which gives them priority in the normal allocation, or they can request a guaranteed spot with a justification. Flagging is the light-touch option; a guaranteed-spot request asks you for a firm commitment.

Free plan limitation

Members on the Free plan cannot request parking into a day that is already fully allocated — this applies to flagged days and guaranteed-spot requests alike. On days with space remaining, both request types work normally.

The decision wizard

When you open a guaranteed-spot request, the decision wizard gives you the context you need to decide fairly:

  • The member's justification for needing a guaranteed spot.
  • Their space preferences (space type and any preferred space).
  • Their fairness standing — how many days they have parked in the last 30 days.
  • The day's occupancy — which spaces are already allocated and to whom.

Approving into a specific space

When you approve a request you can pin the requester into a specific space for that date. This creates a hard reservation: the space is removed from the general pool for that day and belongs to the requester.

  1. 1Open the request from Admin → Requests.
  2. 2Review the justification, fairness standing and occupancy.
  3. 3Choose Approve and pick the space to pin.
  4. 4If the space is already held by someone else, confirm the displacement explicitly.
  5. 5Send the approval — both members are notified by email.

Displacement and the ledger

If the space you pin someone into is already allocated to another member for that day, ParkShare requires you to explicitly confirm the displacement before it happens. Displacement is never automatic.

  • The displaced member gets the day credited in the fairness ledger — they are treated as if they had parked, protecting their future priority.
  • Both people are emailed: the requester learns they have the space, and the displaced member learns they have been moved and credited.
  • The ledger is append-only. Nothing in it is ever overwritten or deleted.

Re-runs are safe

Because the ledger is append-only, re-running the week re-derives everything from the ledger. Credited days are never double-counted and displaced members are never disadvantaged twice.

Leave beats a reservation

If a reservation holder is on recorded leave for the pinned day, the space returns to the pool for that day and is allocated to someone else. Leave always wins over a reservation.

Revoking a reservation

Revoking a reservation removes the pin on the space, but nothing is automatically re-allocated afterwards — if you want the freed space to go to someone else, run the allocation again (re-runs are safe).

Any displaced day already recorded in the ledger stands. Revocation does not unwind the credit the displaced member received.

Pool spaces only

Hard reservations can only pin members into pool spaces. Permanent bays are not part of the reservable pool and cannot be pinned over.
