Running the weekly allocation
Run allocations manually from Admin → Allocations, or set an automatic weekday in Admin → Settings (Standard and Pro plans).

Running an allocation manually
- 1Go to Admin → Allocations.
- 2Choose the week you want to allocate.
- 3Select Run allocation.
- 4Review the results, then let ParkShare notify members.
Manual runs are useful when you have just added spaces, changed members or want to allocate an upcoming week early. You can run the same week as many times as you need — see Re-running is safe below.
Automatic weekly runs
Instead of running each week by hand, you can pick a weekday in Admin → Settings. On that day each week, ParkShare runs the allocation automatically and can email or notify members with their results.
Plan requirement
Automatic runs are available on the Standard and Pro plans. The Free plan allocates 5 spaces and has no auto-run, so allocations there are always triggered manually.
What happens during a run
- Phase 0 — reserved bays are pinned: permanent bays go to their holders first, and any hard reservations for the week are placed into their pinned spaces before the pool is touched.
- The remaining spaces form the pool and are allocated by fairness, using each member's parking count over the last 30 days.
- Leave records are respected: members on leave are skipped and their would-be spaces go back to the pool.
- Accessibility needs, preferred space types, preferred specific spaces and required office days are all factored in.
Re-running is safe
Re-running an allocation week never double-counts or duplicates anything. ParkShare keeps an append-only ledger of displaced members — anyone moved out of a space by a reservation is remembered — so a re-run re-derives the week fairly and never disadvantages displaced members twice.
Confidence to adjust
Because re-runs are safe, you can approve a late guaranteed-spot request or add a new space mid-week and simply re-run the allocation.
Reviewing results and the notification summary
After each run you can review who received which space before members are told. The notification summary shows what was actually delivered:
- Emails sent and failed, so you can spot delivery problems early.
- SMS counts, so you can keep an eye on your organisation's SMS quota.
