Your first week as an administrator
A step-by-step checklist for setting up your organisation: add spaces, invite your team, collect preferences and run the first allocation.

Before you begin
When you first sign in with your work email, ParkShare creates or joins your organisation. From there, everything you need lives under the Admin menu. This checklist walks you through a sensible first week — you can spread it across a few days or do it in one sitting.
Day 1: add your parking spaces
- 1Go to Admin → Spaces.
- 2Add each space with a label such as BAY-1, so members recognise it on the weekly allocation.
- 3Set the type for each space: standard, accessible, EV charging or covered.
- 4Add optional notes where it helps — for example 'narrow bay, suits small cars only' or 'behind the roller door'.
Plan limits on spaces
The number of spaces you can add depends on your plan: Free up to 5, Standard up to 25 and Pro up to 60. If you reach the cap, you will see an upgrade message and cannot add more spaces. See admin/plans-and-limits for the full comparison.
Day 2: invite your team
- 1Go to Admin → Members.
- 2Invite each colleague by email — they receive a branded invite from ParkShare.
- 3Decide who needs the admin role. Most organisations keep this small: one or two people who manage spaces and allocations.
Members only need a member role to set preferences, make requests and see their weekly allocation. See admin/managing-members for details on roles, deactivating leavers and re-inviting.
Day 3: ask members to set preferences
The allocation is only as fair as the information members give it. Ask everyone to sign in and set their preferences and required days — which days they need to drive, and which bays they would prefer.
Point members to a guide
Share getting-started/setting-preferences with your team so everyone knows exactly what to fill in. The more accurate the preferences, the better the first allocation will land.
Day 4: choose your automation settings
- 1Go to Admin → Settings.
- 2Pick the weekday the allocation should run automatically, and decide whether members are notified when it runs.
- 3Consider turning on 'Require approval for park requests' if you want to review member requests before they affect the allocation.
Plan gates
Auto-run and request approvals are available on Standard and Pro plans, not Free. If you are on Free, you can still run the allocation manually each week. Full plan comparison: admin/plans-and-limits.
Day 5: run the first allocation
- 1Go to Admin → Allocations.
- 2Run the allocation manually the first time so you can check the result before members rely on it.
- 3Review the notification summary afterwards — emails sent and failed, SMS counts if you use SMS, and webhook delivery if you have connected Slack or Teams.
From here the allocation runs automatically on your chosen weekday (Standard and Pro), and you can always re-run it manually. How fairness is calculated is explained in allocation/how-fairness-works.
Communicate the rollout
Let people know what to expect before the first allocation lands: check their email for the summary, sign in to see their weekly view, and use park requests for days they need a spot.
Let fairness settle
The first few allocations will not be perfect — fairness is based on the last 30 days of allocations, so it takes a few weeks of history to settle into an even pattern. Tell your team to expect some churn early on; it evens out.

Running the weekly allocation
Run allocations manually from Admin → Allocations, or set an automatic weekday in Admin → Settings (Standard and Pro plans).
